Turn an emailed quote into a paid order.

A customer prices up several items, gets the quote in their inbox, and picks it up days later on a checkout that already knows what they asked for.

Illustrative experience

  • A quote with many line items
  • Emailed on submission, followed up on a schedule
  • A checkout that opens already filled in

The finished experience

The quote they were sent is the order they pay for.

Nobody retypes a quote to buy it, and nothing is lost between the estimate and the payment.

A good fit for
Insurance, hire, and anything quoted item by item before it is paid for.

  1. 1

    Quote every item

Each vehicle, room or policy line is an entry of its own inside the quote, and a calculated product field on the quote adds the lines into one total.

    GP Nested Forms

  2. 2

Send it, then follow it up

Gravity Forms emails the quote the moment it is submitted, and Notification Scheduler sends the reminder days later.

    GP Notification Scheduler

  3. 3

    Reopen it as a checkout

The link in that email carries the quote’s Easy Passthrough token, so the order form opens with the quote’s reference, its summary and its total already in place.

What you’ll need.

Start with Gravity Forms. Add the capabilities this solution needs, then make the experience your own.

Taking it further

Add these optional plugins when your project calls for more.

Before you start

  • A quote form, an order form, and a payment integration for the checkout.
  • Before creating a payment, load or validate the quoted lines and total from the trusted quote record on the server. Easy Passthrough and Read Only do not make a browser-submitted price trustworthy.

Get this built.

A plan covers how many of our plugins you run at once, and on how many sites. Here is what this one needs.

Required

  • GP Nested FormsPerks

  • GP Easy PassthroughPerks

  • GP Notification SchedulerPerks

Optional

Gravity Perks Advanced $169 /year

3 perks need Advanced or above — on up to 3 sites.

Gravity Perks Pro $299 /year Taking the optional perk too makes it 4 in all, which needs Pro.

Make it fit
your project.

Does the customer need an account to come back?

No. The link carries an Easy Passthrough token, and that token is what identifies the quote, so treat the email as the credential: send it only to the address that was quoted and keep anything sensitive off the order form.

What stops the reminders?

Nothing stops them on its own. The quote and the order are separate entries, so payment lands on the order and never marks the quote paid. End the sequence after a set number of sends, delete an entry’s scheduled notifications from the entry itself, or have the reminder’s conditional logic checked at send time with the documented gpns_evaluate_conditional_logic_on_send filter.

Do the quoted lines come back as editable rows?

No. The checkout carries the quote’s summary and its total; rebuilding the child rows on a second form takes an experimental snippet. If those lines need volume or rate-card pricing in the first place, the advanced-pricing solution covers that.

Can a customer alter a read-only quoted price?

Read Only discourages ordinary form editing; a crafted request can still change submitted values. Validate or load the payable amount from the trusted quote record on the server before the payment feed runs. Do not treat the displayed total as a price-integrity check.
