Book multiple children for camp in one form.

A children's camp with holiday periods, several venues and a handful of themes, where putting next season on sale is a record to add rather than a form to rebuild.

Illustrative experience

  • Every child on one booking

The finished experience

Next season goes on sale without touching the form.

Every choice is read from the records you keep, so a new venue or camp appears as soon as you add it and one that has finished simply stops being offered.

A good fit for
Camps, courses and seasonal programmes whose offering changes every term.

  1. 1

    Keep the offering as records

Holidays, venues, camps and packages live in one database, and every field reads the current ones: choose the week and only the venues running it are offered.

    GP Populate Anything

  2. 2

Add every child in one pass

Each child is an entry of their own, with the age, medical notes and package that belong to them.

    GP Nested Forms

  3. 3

Hold the dates to the days it runs

The chosen camp's own start and end dates drive the datepicker's limits, and closures and weekends stay out of reach.

    GP Limit Dates

  4. 4

Show what the booking comes to

Use the Nested Form field’s :total merge tag modifier in a native calculation Product field, then show the result in Gravity Forms’ Total field. Nested Forms supplies the child totals; eCommerce Fields is not needed for this addition.

Taking it further

Add these optional plugins when your project calls for more.

Before you start

  • Records for your holidays, venues, camps and packages, each camp with the dates it runs — the form reads those dates to limit the datepicker.

Get this built.

A plan covers how many of our plugins you run at once, and on how many sites. Here is what this one needs.

Make it fit
your project.

What happens when we add a camp for next season?

You add it to your records. The form reads them as it loads, so the camp appears under the right venues and dates without anyone editing the form.

Can each child have a different package?

Yes. Each child is their own entry, so the days, package and notes are per child, and a calculated field on the booking adds the child totals into one price.

Should we use GP Bookings for this instead?

If you are selling time slots against someone's availability, yes — the appointment-booking solution covers that. This build suits a fixed programme you already keep as records: the weeks, venues and camps you publish, with a child at a time added to one booking.

Does this reproduce every package-pricing detail in the spotlight?

This recipe covers fixed child prices and a combined booking total. The customer’s more involved package calculations also used Copy Cat and custom configuration. Reproducing those rules requires that additional setup; eCommerce Fields is not needed merely to add child totals.
