Hundreds of prices.
One quick answer.

More than seven hundred lab parameters, each with its own price and insurance rules, and a receptionist who needs the total before the patient sits down. The form does the looking up.

Illustrative experience

  • A price list you edit in a sheet
  • A few letters find the item
  • A running total before the final quote

The finished experience

The person at the desk can answer the price question.

Reception quotes the right total in seconds, and the doctors who used to work it out get that time back.

A good fit for
Clinics, trade counters, and anyone quoting from a long price list.

  1. 1

Keep the price list where you maintain it

The whole catalog lives in a Google Sheet, so a price change is an edit in the sheet rather than a change to the form.

    GC Google Sheets

  2. 2

Pull the prices into the form

Choices and the price attached to each one are read from the sheet, not copied into the form and left to drift.

    GP Populate Anything

  3. 3

    Find the item by typing

Enable Advanced Select and filter the Sheet-backed parameter property by Advanced Select Search Value. That enables fresh matching queries and lazy loading as staff type; test the search against the full price list.

    GP Advanced Select

  4. 4

Add the lines and read the total back

Each added parameter saves a child entry and updates the running total. Staff can read the total without submitting the parent quote. Configure and test a reset before starting the next customer’s quote.

    GP Nested Forms

What you’ll need.

Start with Gravity Forms. Add the capabilities this solution needs, then make the experience your own.

Before you start

  • The price list in an authorized Google Sheet and a page restricted to staff.
  • A Populate Anything filter where the searchable parameter property contains Advanced Select Search Value. Test latency with the full catalog; large Sheets can remain slow even with lazy loading.
  • A tested reset between quotes. Reloading alone may restore prior child entries; configure retention for abandoned quote items as part of the workflow.

Get this built.

This solution spans two suites, so it takes two licenses — bought one at a time, in either order.

your project.

Does a quote save any entries?

Adding an item saves a Nested Forms child entry, even if the parent quote is never submitted. Unattached child entries normally expire after a week and are trashed daily. Reloading can restore those items, so configure and test how staff clear the current quote before serving the next person.

Does the price list have to be a Google Sheet?

No. Populate Anything also reads posts, users, entries and database tables. A sheet suited a list several people keep up to date.

Could customers use it themselves?

Nothing stops you putting it on a public page. It is built for the desk, though — the insurance rules sitting behind the prices need someone who can explain them — so keep it on a page only staff can open.
