Then send the next step.

The finished experience

Give every decision a next step.

Each outcome sends a useful next message. Approved applications also get an updated status on the original entry.

A good fit for
Membership teams, internal request owners, and manager-led reviews.

  1. 1

    Receive the application.

Collect the application in Gravity Forms and start a workflow from the submitted entry.

  2. 2

    Ask the right person.

Use Wait for Approval to send the designated reviewer personal Approve and Reject links. Set an expiry and request a rejection note if useful.

  3. 3

    Follow the decision.

Connect approved, rejected, and expired outcomes to their own next steps. Give rejected applicants a helpful response and route expired requests to a manager follow-up.

    Save the approved status.

On the approved branch, use Update Entry Field to set your Status field to Approved, then send the configured welcome notification.

What if the reviewer does not respond?

Configure an expiry and connect the expired outcome to a follow-up action. Treat it separately from an approval or rejection.

Can approval start another integration?

Yes. You can run a configured, compatible Gravity Forms feed on the approved branch. The external service and any required Gravity Forms add-on are separate.

Is this the same as conditional form logic?

No. This workflow waits for a person after submission. The smart-applications solution uses form conditions to ask relevant questions while someone is filling out the form.
