Answer every inquiry before you read it.

A design agency’s pre-sales runs itself: the first reply is assembled from what the prospect ticked, and the follow-up arrives days later on its own.

Illustrative experience

  • One notification, many versions
  • The follow-up times itself
  • Nothing retyped by hand

The finished experience

The prospect has their answer before you have read the inquiry.

Every one of them gets a full, relevant reply the moment it lands, and the hours of retyping go back into the work.

A good fit for
Agencies and service businesses answering the same pre-sales questions every week.

  1. 1

    Ask what they need

The form collects the services they want, their deadline and how hands-on they expect to be.

    Gravity Forms

  2. 2

    Write the reply once

One notification holds a block for every service, and each block appears only when its conditions match — the service they picked and the deadline they gave.

    Advanced Conditional Shortcodes

  3. 3

Send it now, and again later

The first reply goes out with the submission; the follow-up is timed off it, so the sequence runs with nobody in it.

What you’ll need.

Start with Gravity Forms. Add the capabilities this solution needs, then make the experience your own.

Before you start

  • Advanced Conditional Shortcodes is a free Spellbook install, and the scheduled follow-up needs WP Cron running — a system cron on a quiet site.

A plan covers how many of our plugins you run at once, and on how many sites. Here is what this one needs.

Why not the conditional shortcode Gravity Forms already has?

The featured agency used Gravity Forms’ native conditional shortcode. This current recipe adds the free Advanced Conditional Shortcodes plugin for blocks that require grouped service-and-deadline conditions. For a single-condition reply, the native shortcode is enough.

Can a prospect be taken out of the sequence?

Yes. Open the entry, delete the notification still waiting to send, and write to them by hand instead.

How many follow-ups can there be?

As many as you schedule. Each is its own notification with its own delay, and each can carry the same conditional blocks.
