Illustrative experience

  • One entry per opening
  • Only active roles offered
  • Apply links prefill the role

The finished experience

Maintain the opening once.

Changes to the posting entries control which roles appear on the board and in the application choices.

A good fit for
Employers and small job boards that want openings and applications managed in Gravity Forms.

  1. 1

Keep the openings in a form.

Create a Job Postings form with the role, department, description, and status. Each submitted entry becomes one opening your team can maintain.

    Gravity Forms

  2. 2

Fill the application with active roles.

Populate the application’s job choices from Job Postings entries filtered to Active. Enable dynamic population on the job field so a link from the board can select the role.

    GP Populate Anything

  3. 3

Publish the board with an Apply link.

Use an Entry Blocks table filtered to active postings and display the public job fields. Add a custom Apply Now column that passes the role to the application page through its query string.

What you’ll need.

Start with Gravity Forms. Add the capabilities this solution needs, then make the experience your own.

Taking it further

Add these optional plugins when your project calls for more.

Before you start

  • Separate Job Postings and Job Application forms.
  • A public listings view filtered to active postings, an application page, and a matching dynamic-population parameter.
  • Keep applicant data out of the public listings view. A private review queue needs its own access restrictions.

Get this built.

A plan covers how many of our plugins you run at once, and on how many sites. Here is what this one needs.

Required

  • GP Populate AnythingPerks

  • GP Entry BlocksPerks

Optional

Gravity Perks Advanced $169 /year

Does this replace the hiring pipeline?

This recipe publishes available roles and gets applicants into the right form. Reviewing candidates and moving them through stages belongs to a separate hiring workflow.

Can someone apply again to the same role?

This base recipe does not limit repeat applications. Add GP Limit Submissions with rules for both email and selected job if you want a limit; the source tutorial uses one application per role per email every 30 days.

Do we edit the public page every time a role closes?

No. Filter both the board and application choices to active Job Postings entries, then update the entry’s status when the role closes.
